Video Conference System

We have IP-based video conference systems, which are mounted on the movable rack. We can move them inside the same building.

We also have a cloud-based video conference zoom.us with an "Education" license.

Booking of Polycom System

Polycom video conference system can be booked at RCNP INDICO.

Login to the RCNP INDICO, then proceed to the "Room Booking" menu.

Booking of Zoom

The "zoom" meetings can be hosted on "Zoom Room", your PC, and mobile device. Booking is required for using "Zoom Room" or H.323 connection pots. Please see the manual page of zoom at RCNP.

About the system

• System-Z
  • Model name: zoom room system
  • Outline and manual
  • It can host a meeting with unlimited duration and up to 100 participants
  • This system can be booked by Google Calendar instead of INDICO See manual for booking or checking the booking status.
  • It can host a multipoint conference (up to four H.323 connection ports are available).
  • Default place is Honkan lecture room 3.
  • This system can be moved inside the Honkan building
• System-A
  • Model name: Polycom HDX 6000
  • It can NOT host a multipoint conference.
  • Default place is AVF meeting room.
  • This system can be carried into elevator at AVF building. But can NOT be carried into elevator at Main building (Honkan).
• System-H
  • Model name: Polycom RealPresence Group 300
  • It can NOT host a multipoint conference.
  • Default place is Honkan lecture room 3.
  • The video output of the PC can be shared.
  • This system can be carried into elevators both at AVF building and at Main building (Honkan).
  • The battery of the remote controller is charged with USB port. If you find that the remainder of the battery is short, please charge it for the next user. You must use "charge only USB port". It is lower port of the rear panel of the polycom box.
• System-M
  • Model name: Polycom RealPresence Group 300
  • It can NOT host a multipoint conference.
  • Default place is conference room at the Main Building.
  • This system can be carried into elevator both at AVF building and Main building (Honkan).
  • The battery of the remote controller is charged with USB port. If you find that the remainder of the battery is short, please charge it for the next user.
• System-S
  • Model name: Polycom RealPresence Group 300
  • It can NOT host a multipoint conference.
  • This system is restricted for use. Please consult us if you want to use.
  • This system can be carried by hand.
  • The battery of the remote controller is charged with USB port. If you find that the remainder of the battery is short, please charge it for the next user.
• System-V
  • Model name: Polycom VSX7400
  • It can host a multipoint conference up to 3 client sites (+ host = total 4-point conference).
  • By using "VSX People+Content", presentations and other data on PCs can be easily shared.
  • Default place is Honkan 4F common space.
  • This system can be carried into elevators both at AVF building and at Main building (Honkan).
• System at the SPring-8
  • This system is owned and operated by Institute for Academic Initiatives, Osaka university.（大阪大学未来戦略機構）
  • This system is placed at room 306, Experimental Facility for SPring-8 Users, SPring-8. （利用実験施設３０６室）
  • Model name: Polycom RealPresenceGroup500-720　EagleEye
  • It can host a multipoint conference up to 5 client sites (+ host = total 6-point conference). But This system cannot accept calls from other site. You need to call to other sites to host a multipoint conference.
  • The battery of the remote controller is charged with USB port. If you find that the remainder of the battery is short, please charge it for the next user.
  • Booking here. You cannot use indico.
  • You need a "meeting password" to call to this system. (after 13-SEP-2016)

Room and Port

The other video conference systems must be connected to the proper network port, which is exclusively and physically assigned for the system. Usually, the video conference system can be used at the following rooms.

Usage

1. Connect VSX7400 (or HDX 6000,,,) to the assigned network port (RJ-45 jack with the specified number) with a UTP cable.
2. Turn on both the LCD monitor and VSX7400.
3. There are several ways to start the session
• Tell the meeting partner our IP address in advance and wait to be called.
• Push "Call/Hang up" button on the remote controller, then enter the IP address of the meeting partner.
• To join a multipoint conference at KEK (Gatekeeper), enter the conference number, instead of the IP address. The conference number is provided by the host of the meeting.
4. The transport between our video conference systems and partner's is encrypted by AES if the partner is possible to use AES. If you want to know encryption is ON or OFF, please look for "LOCK" icon displayed immediately after the connection starting.
